Proposal Review Process

Step 1

Any unit interested in implementing a non-academic, e-business initiative must submit a proposal directly to the E-business Resource Group (ERG).

Step 2

Once a complete proposal has been obtained, the proposal will be forwarded to all of the members within the ERG for review (see Non-Academic Proposal Review Process). In addition, notification of the proposal will be given to CSSD, the Vice Provost/Customer Information Security Officer, Internal Audit, Finance, and General Accounting. These areas either provide additional support to the process or are responsible for safe guarding customer information.

Step 3

The ERG review was established to mitigate potential risks inherent in implementing an e-business initiative. The review consists of four separate and distinct reviews, including a security, business, financial, and legal review. The ERG will outline any risks identified during the reviews and provide recommendations for mitigating those risks.

Step 4

In the event that there are potential security risks inherent in a proposed e-business model, a list of security concerns are outlined and included in the ERG’s recommendations. All proposals must comply with the requirements outlined in the University’s Customer Information security Plan (Hyperlink).

Securing customer information is a critical component of all e-business initiatives. The individual merchant locations are ultimately responsible for insuring that customer information obtained via a financial transaction is safe and secure. Please refer to the University’s Customer Information Security Plan for the actions that should be taken by each merchant location to ensure compliance concerning customer information.

Step 5

Once all of the ERG’s recommendations have been addressed, the ERG representative will contact the Finance department to establish a merchant ID.
